From the first meeting to departure, here is what we do at each step and what you need to prepare. It all starts with a consultation in Guéliz or online.

Seven steps to study abroad

The order is the same for most destinations. The calendar and documents vary depending on the country and the program.

  1. Step 1: First consultation in Guéliz or online

    We meet in our office in Guéliz, Marrakech, or by video call. You tell us about your project, and we explain how we work. We confirm the conditions of the consultation when you book.

    Your questions, your current level of studies and, if you have them, your latest report cards.

  2. Step 2: Profile assessment and orientation

    We look at your academic record, interests, language level and budget to define the right direction for your studies.

    Assesses your profile, discusses possible fields of study and advises on the language or admission tests you may need.

    What you provide

    Transcripts and report cards, diplomas obtained, any language test results, and an idea of the family budget.

  3. Step 3: Destination and program shortlist

    Together, we compare destinations and build a shortlist of institutions and programs that match your profile.

    Compares countries, programs, admission requirements and calendars, and proposes a realistic shortlist with a timeline.

    What you provide

    Your preferences on country, language of study and city, and your feedback on the proposed programs.

  4. Step 4: Applications

    We prepare and submit your applications to the institutions on your list, on their platforms and before their deadlines.

    Lists the documents for each application, helps with motivation letters and CVs, and checks each file before submission.

    What you provide

    Copies of your passport, transcripts and diplomas, certified translations when required, test results and your input for letters.

  5. Step 5: Admission results and choice

    Institutions send their answers. We help you understand each offer and choose the one that fits your project best.

    The answers you receive from institutions, and your final decision, taken with your parents.

  6. Step 6: Student visa file

    Once you have accepted an admission, you apply for the student visa of your destination country.

    Gives you the document list for your destination, reviews the complete file and prepares you for the appointment or interview when there is one.

    Admission letter, valid passport, proof of financial resources, proof of accommodation when required, and civil status documents.

  7. Step 7: Departure preparation and follow-up with parents

    Before you leave, we go through the practical points of your departure. Parents stay informed throughout the project.

    Shares a pre-departure checklist and keeps you and your parents updated with personalised follow-up.

    What you provide

    Your travel plans and any questions about your first weeks abroad.

What to prepare

Each destination and institution has its own list, but most files include the following documents.

  • Passport valid for the whole planned stay.
  • Transcripts and report cards from the last years of study.
  • Diplomas already obtained, such as the baccalaureate.
  • Language test results, depending on the language of the program.
  • Certified translations of documents when the institution or consulate requires them.
  • Financial documents showing how the studies and living costs will be covered.

What students and parents often ask before they start.

It depends on the destination and the program, but it is usually best to start about a year before the intended start date. Applications often open many months in advance, and the student visa can generally only be requested after admission. Starting early leaves time for language tests, translations and the visa procedure without rushing.

No. You can meet ProTrain in person in our office in Guéliz, Marrakech, or follow the whole process online by video call, phone and email. Many families combine both: a first meeting in the office, then online sessions. Parents can join the meetings in either format, so the student and the family share the same information.

No, and no agency can. Admission decisions belong to the institutions, and visa decisions belong to the consulates of each country. What ProTrain does is help you choose realistic programs, prepare complete and coherent applications, and build a clear visa file, so that your project is presented in the best possible way at each step.
